Cancellation Policy
K8Ball Media Booking Policy Deposit to Secure Your Date A non-refundable 25% deposit is required to lock in your shoot date and time. This deposit is applied directly to your final invoice. Invoicing & Payment Terms Invoice Timing: Your final invoice will be sent as soon as your deposit is received. Due Date: Payment is due within two weeks after your session, or upon delivery of your images if they arrive sooner. Rescheduling & Cancellations Reschedule: No extra fees when you let us know at least 72 hours before your shoot. Cancel: Deposits are forfeited if cancelled 72+ hours before. Cancellations inside 72 hours forfeit the full deposit and may incur up to 50% of the remaining balance. Punctuality & No-Shows Please arrive on time—your session runs for the booked duration. Late arrivals (over 15 minutes) may shorten your shoot; extra time is billed at £50 per 15 min. No-shows forfeit their deposit and must rebook with a new deposit. Travel & Location Fees In-Studio Shoots: No extra charge. On-Location Shoots: Includes a 10-mile radius of Basingstoke. Beyond that, a £0.50/mile round-trip travel fee applies. Weather Policy (Outdoor Shoots) If conditions become unsafe or heavily rainy, we’ll reschedule at no extra cost. A final call is made 2 hours before your slot. Add-Ons & Extras Hair & Makeup: £25 for a 1-hour session / £100 for a full day. Extra Retouching: £20 per image beyond the two included. Usage Rights & Copyright Once full payment is received, you own the rights to your final images for personal or commercial use.
